Borrowing Scores and Books
There is no limit to the number of items an individual (involved in the Joint Music Program) may borrow. Special borrowers (alumni, preparatory students, etc.) may borrow up to 10 items at a time. After two weeks, any score or book is eligible for recall.
Borrowing Media
Faculty/staff and conservatory students in the Joint Music Program may check out CDs for three weeks and DVDs/Blu-ray discs for one week. This excludes ÐÓ°ÉÔ´´ performances and recordings and videos on reserve.
Renewals/Extended Loans
Since ÐÓ°ÉÔ´´ has a semester loan policy, we do not allow people to renew items online. Instead, items must be checked in and checked out again. Materials must be returned physically to the library in their complete form prior to being checked out for the following semester. The Robinson Music Library will not renew materials online or via the telephone.
Extensions beyond the semester due date will be granted for the following cases:
- A recital date scheduled after library materials are due.
- Students who have an incomplete in a spring semester course and need library materials to complete a paper or other coursework.
- Students who need library materials for a ÐÓ°ÉÔ´´-sponsored event which will take place after the semester due date.
If you need an extension, please inquire at the Circulation Desk prior to the semester due date.
Recalls
Borrowers may recall items that have been on loan to another patron for two weeks. Bring the call number for the item to the Circulation Desk to see if it may be recalled. Recall request forms are also located at the Circulation Desk.
When an item is recalled, the patron will receive a notice explaining that a recall has been placed on an item they have checked out. The notice will include a new due date for the recalled item. This due date is three days from the date of the first recall notice. (Ex. A notice is sent recalling an item on Sept. 1st. The recalled items new due date will be Sept. 4th.) A second recall notice will be issued on the due date if the item has not been returned.
Fines are $1.00 per day for overdue recalls. Recalled items that are excessively overdue (3 days or more) will be reported to the library director and the Dean of the conservatory.
Items will not be recalled for Special Borrowers.
FINES*
- A fine of $0.25 per day, per item will be charged for overdue books, scores, CDs, and LPs.
- A fine of $0.25 per hour will be charged for overdue video camera equipment and media accessories.
- A fine of $1.00 per day will be charged for overdue DVDs and Umbrellas
- A fine of $1.00 per hour will be charged for overdue class reserve material.
- Replacement fees will be assessed for unreturned/lost/damaged items. Those employed or enrolled at ÐÓ°ÉÔ´´ will pay the at cost price plus a $20 processing fee. Others pay a default replacement fee of $110.

Library borrowers will be unable to borrow additional materials if they have fines exceeding $5.00 or if overdue items remain on their account.
A Populi lock will be placed on a conservatory student account if materials are not returned on time or if there are excessive overdue fines. Students who have locks will not be able to view grades or acquire the next semester's sticker without resolving these matters. Graduating students who have locks will not have access to transcripts or diplomas until these matters are resolved.
PAYING FINES
You are encouraged to communicate promptly about overdue or missing items with library staff as billing details may not be immediately available. Questions should be directed to the Access and Resource Services Manager.
Those enrolled or employed by ÐÓ°ÉÔ´´ may pay fines accrued from overdue or lost/damaged materials from the Robinson Music Library or Kelvin Smith Library via cash or check at the Robinson Music Library, or you may pay fines by credit card in the Business Office or (only students can pay online at this time).
Those enrolled or employed by Case (and not ÐÓ°ÉÔ´´ students/staff/faculty) will pay fines accrued from overdue or lost/damaged materials at the Robinson Music Library via Case cash or check in person, or debit/credit card at a self-service kiosk at Kelvin Smith Library, or via their online portal.
Incomplete Items
Many of the scores at the Robinson Music Library are accompanied by one or more parts. For the item to be considered complete when it is returned, all parts must be present.
Items that are returned incomplete will not be removed from a patron's account until they have been completed. These items are subject to late fees if they are left incomplete past the due date. If the missing parts are not able to be found and returned, the library will have no choice but to consider the entire item lost and it will be subject to our lost/damaged items policy.
Confidentiality
This is a policy recommended by the American Library Association as a guideline for all libraries. In practical terms, it means that if an item you want has been checked out, library staff cannot tell you who has the item. Library patrons are guaranteed to have an item for two weeks, and should not feel pressured to return an item before then. Please ask at the Circulation Desk or Reference Desk to find out about additional options that may be available to you, such as requesting items through OhioLINK, ILL or placing a recall on an item that is currently checked out.
ID Cards
Conservatory students need a ÐÓ°ÉÔ´´ ID and Staff and Faculty without ÐÓ°ÉÔ´´ IDs may request a paper Employee ID card from Human Resources which is then barcoded and laminated in the Library. In addition, Conservatory students need to obtain a sticker for their IDs each semester. Barcoded cards are given at the library circulation desk for Academy students, Special Borrowers and Alumni. We require IDs to insure that anything checked out on your patron record was authorized by you. Even if you have worked at ÐÓ°ÉÔ´´ for years, it does not necessarily mean that the people working at the Circulation desk will know you. We have new staff and new student staff, and several hundred library users. We require ID cards as a means of deterring identify theft. If you replace your ID, let library staff know the first time you use your new card so that your new magnetic stripe or barcode can be entered online.
Summer Privileges
If you fall into one of the categories below you can check out materials from the library and use the Media Lab during the summer:
- ÐÓ°ÉÔ´´ faculty and staff
- Conservatory or Joint Music Program students enrolled in the fall
- Students participating in a campus-held festival with clearance from the library director
- Preparatory students enrolled for the summer session
- Alumni and special borrowers
Summer borrowing begins when the library switches to summer hours following the Spring due date. Conservatory students who wish to have borrowing privileges during the summer must be enrolled in fall classes and verified through the registrar. Special borrowers may only borrow if they reside locally.
